Privacy Policy

The short version: your uploaded documents are processed in memory and immediately discarded. We never store the raw document. No personal identifiers are saved. We do not sell your data. Ever.

Who we are

Bill Advantage (billadvantage.com) is a document literacy tool that helps individuals understand and respond to healthcare billing documents. Bill Advantage is not a covered entity under HIPAA and is not a healthcare provider, insurer, or clearinghouse.

What we collect

When you use Bill Advantage, we collect:

  • Your email address and name, provided at account creation
  • The document type you selected
  • The situation description you provided
  • Structured billing data extracted from your document (see below)
  • Subscription and billing status (managed through Stripe)
  • Trial status and expiry date, if applicable
  • Anonymized outcome data when you mark a claim as resolved with a recovery amount (see Anonymized Outcome Data below)

If you submit feedback through Bill Advantage, we collect your star rating (stored as a helpful or not helpful boolean), your optional written comment, and the context of the feedback (such as which tool or page it was submitted from). If you are signed in, feedback is associated with your account. Feedback submitted on public pages without signing in is stored without any user identifier.

How we handle your uploaded document

This is the most important section. Here is exactly what happens when you upload a document:

  • Your document is transmitted securely over HTTPS
  • It is loaded into memory for processing only
  • An extraction step immediately identifies and pulls only non-identifying billing data: procedure codes, dates of service, billed amounts, denial reason codes, and similar structured fields
  • The raw document, including any personal identifiers such as your name, member ID, address, date of birth, or Social Security number, is never written to our database or any storage system
  • The raw document is discarded from memory as soon as extraction is complete
  • Only the extracted structured data is retained

What we retain and for how long

We retain the following:

  • Your email address, name, and subscription status
  • Document type and situation description you provided
  • Structured billing data extracted from your document (no personal identifiers)
  • The analysis we prepared for you

On the Starter plan (including during and after a free trial), analysis history is retained for 30 days. On Member and Family paid tiers, analysis history is retained for 1 year. You may request deletion of your account and all associated data at any time as described below.

How we use your information

We use your information only to:

  • Prepare and deliver your billing analysis
  • Communicate with you about your account and submissions
  • Process your subscription and billing through Stripe
  • Improve the accuracy of our analysis tools
  • Aggregate anonymized outcome data (with no personal identifiers) to improve the accuracy and calibration of our analysis guidance

We do not use your information for advertising. We do not share your information with third parties except as described below.

Third-party services

We use a limited number of third-party services to operate Bill Advantage:

  • Clerk: authentication and account management (sign-in, sign-up, session management)
  • Supabase: secure database storage for account and analysis records (structured data only, no raw documents)
  • Stripe: payment processing and subscription lifecycle management. Stripe handles all payment card data directly and we never see or store your payment card information
  • Resend: transactional email delivery (analysis results, account notices, Healthcare Calendar digests)
  • Anthropic: AI processing of documents for extraction and analysis. Documents are processed per their API privacy terms and are not used to train models
  • Vercel: hosting and infrastructure
  • Cloudflare: DNS and DDoS protection

No health data is sold to any third party. Ever.

Security

All data is transmitted over HTTPS. Database records are encrypted at rest. Access is restricted to authorized personnel only. We treat all health-related information with the same care we would apply under HIPAA, regardless of whether we are legally required to do so. A runtime assertion verifies before every database write that no raw document bytes or base64-encoded data are present in the payload.

Your rights

You may request deletion of your account and all associated data at any time by emailing support@billadvantage.com with the subject line "Delete my data." We will confirm and process your request within a reasonable timeframe.

Personal Health Agent and Conversation History

What is stored: When you use the Bill Advantage agent chat feature, your conversation messages are stored to provide continuity across sessions. Message content is sanitized to remove personal identifiers (such as Social Security numbers and dates of birth) before storage. Raw document content is never stored in conversation history.

How we use it: Conversation history is used solely to provide the agent service to you. It is not used to train AI models, sold to third parties, or shared with insurers, providers, employers, or any other party.

Retention: Conversation history is retained for 12 months on a rolling basis for active accounts. If your account has no authenticated activity for 90 days, your conversation history will be automatically deleted. You will receive an email notification 7 days before automatic deletion.

Crisis message handling: Messages that contain acute crisis language are not stored in your conversation history. This is a deliberate privacy protection. Disclosures made in a moment of crisis are not retained in our systems.

Your controls: You can delete your conversation history at any time via Account settings. Deleting your account removes all conversation history immediately.

Activity tracking: We maintain a record of your last account activity (any authenticated use of the platform, not just login) for the purpose of applying the retention policy described above.

Proactive Monitoring

What it does: The Bill Advantage agent monitors your account data (claims, appeal deadlines, denial patterns, account balances) on a scheduled basis to surface relevant information and recommended actions in your agent feed.

What it does not do: The agent does not take any action on your behalf without your explicit approval. All agent-recommended actions require you to review and approve before anything is sent, filed, or submitted.

How to opt out: Proactive monitoring runs for all active accounts. If you do not want proactive monitoring, you may close your account. You can dismiss individual agent feed items at any time.

Anonymized Outcome Data

What it is: When you mark a claim as resolved with a recovery amount, Bill Advantage records a fully anonymized outcome entry. This record contains no user identifier of any kind, no account ID, no email address, no name, and no claim ID. It records only: the tool category used, the payer category (for example "commercial" or "medicare", never the actual payer name), the type of claim, the outcome type (won, partial, lost, or settled), the amount billed, the amount recovered, and the number of days to resolution.

Why we collect it: These anonymized records are aggregated across users to provide collective benchmarking, for example, the typical recovery amount for a specific type of dispute. When enough anonymized records exist for a given dispute category, this aggregate context is used to calibrate the guidance Bill Advantage provides. No individual record can be traced back to any user.

What it is not: This is not behavioral tracking, advertising data, or profiling. The anonymized outcome record cannot be linked to your account, your claim, or any other data associated with you. It is statistical data only.

Retention: Anonymized outcome records are retained indefinitely as aggregate statistical data. Because they contain no personal identifiers, they are not subject to account deletion requests. Deleting your account removes all identifiable data but does not remove anonymized aggregate records that cannot be linked to you.

Profile Completeness

Bill Advantage calculates a profile completeness score based on whether you have completed five actions: run an analysis, tracked a claim, saved a plan profile, connected HSA data, and set a reminder. This score is computed in real time by counting records in your account and is displayed to you to help you get more value from the platform. The score is not stored persistently and is not shared with any third party.

Children

Bill Advantage is not directed at children under 13. We do not knowingly collect information from children under 13.

Changes to this policy

If we make material changes to this policy, we will update the effective date at the top of this page. Continued use of the service after changes constitutes acceptance of the updated policy.
